Guardian Way LLC is committed to providing quality mental health services while ensuring the privacy and confidentiality of our clients. These policies and procedures outline the expectations and obligations for clients and staff.
1. Confidentiality
- All client interactions, records, and information shared during sessions are strictly confidential and protected by law.
- Information may only be disclosed with client consent in writing or in specific situations mandated by law (such as risk of harm to self or others, child abuse, elder abuse, or legal subpoenas). Court appearances require preparation and additional fees.
- Clients have the right to access their records upon request, or in accordance with consistent and confidentiality laws. (See conclusion for expected time for information)
2. Appointment Cancellation and Fees
- 24-Hour Notice: Cancellations made with less than 24 hours' notice will result in a full session charge of $75. (Paid by the client prior to rescheduling).
- All appointments must be cancelled or rescheduled via phone or email and confirmed.
3. Payment Policy
- All services must be paid for at the time of the session unless verified covered by insurance.
- Clients outside of Indiana, payment must be made through the site’s payment platform, as Guardian Way LLC therapists are licensed solely in Indiana and cannot process insurance for out-of-state services.
4. Group Sessions
- Group therapy sessions are 2 hours long with a mandatory 10-minute break halfway through.
- Participants are required to maintain respect and confidentiality regarding personal information shared in the group setting.
5. Client Responsibilities
- Clients are expected login to teletherapy or arrive on time for their appointments. Late arrivals may result in a shortened session, and full fees will still apply.
- It is the responsibility of the client to keep their contact information up to date and inform the office of any changes.
6. Emergency Procedures
- In case of an emergency, clients are instructed to call 911 or contact local emergency services. If you are experiencing physical pain, go to the nearest emergency room. Guardian Way LLC staff are equipped to handle certain emotional emergencies.
